State Convention

Interested in hosting an IAJHSC State Convention?

To serve as host, a school must be able to accommodate as many member schools as wish to attend.  Typically, 900-1,000 people may be expected to attend.  However, the Executive Board may set limits on the number of delegates per school and the convention can be smaller if necessary.

SITE REQUIREMENTS

1.  Large gym or auditorium for General Sessions.
2.  Another large gym or auditorium (different than #1) for dance, multi-media show, or other activity.
3.  Cafeteria in which to serve delegates. It is possible to serve in 2 or 3 shifts.  Food may be catered in.
4.  Eight District Caucus meeting areas:  Four areas each capable of seating 150-200 people plus five areas capable of seating 50-150 people.  These areas may be used for other events as well.
5.  Place to display scrapbooks and posters.
6.  Place for advisors to meet and have a luncheon.  150-200 may be expected.  Food may be catered in, or advisors may be bused to another location for luncheon.
7.  Motels within a reasonable distance.  At least 200 sleeping rooms should be available.
HOST REQUIREMENTS
1.  Administration and School Board who are 100% committed to hosting State Convention.
2.  Staff members and/or parent volunteers who will serve as committee chairpersons and helpers.
3.  Council members and other students who are willing and able to help in planning and implementation.
4.  Staff members and/or parents who will be present to provide assistance as needed during State Convention.
5. Advisor who serves as Convention Chairperson and who is able to attend the IAJHSC Executive Board meeting during which convention plans are made.  This meeting is currently scheduled for January.  

OTHER CONSIDERATIONS

If your school is too small, your local high school may serve as a site.  Adjacent buildings have been utilized in the past. Please note that if convention is downsized, the number of motel rooms and the size of the District Caucus meeting rooms will be smaller as well. The host school will be provided with a step-by-step manual for hosting State Convention.  The Executive Director will meet with you, on site, for early planning.
